Applies To: All donors, contributors, members, sponsors, and supporters (“Donors”)


1. Purpose

This Donor Privacy Policy outlines how GCPTALKS, Inc., a 501(c)(3) nonprofit organization, collects, uses, protects, and manages donor information. GCPTALKS is committed to safeguarding donor privacy and ensuring that all personal and financial information is handled with the highest standards of confidentiality, security, and ethical stewardship.


2. Information We Collect

GCPTALKS may collect the following categories of information from donors:

  • Personal Identification: name, address, email, phone number

  • Donation Information: contribution amounts, dates, methods, and designations

  • Payment Information: processed securely through third‑party payment processors; GCPTALKS does not store full credit card numbers

  • Communication Preferences: opt‑in/opt‑out selections, subscription status

  • Recognition Preferences: anonymity requests, public acknowledgment preferences

  • Optional Information: donor notes, employer information for matching gifts, or other voluntarily provided data

GCPTALKS does not collect sensitive personal information unless voluntarily provided for a specific purpose.



3. Use of Donor Information

Donor information is used solely for purposes related to:

  • Processing contributions

  • Issuing tax‑deductible receipts

  • Maintaining accurate donor records

  • Communicating organizational updates, impact reports, and opportunities to give

  • Honoring donor recognition preferences

  • Complying with federal and state nonprofit regulations

GCPTALKS does not use donor information for unrelated commercial purposes.



4. Protection of Donor Information

GCPTALKS implements administrative, technical, and physical safeguards to protect donor information from unauthorized access, disclosure, alteration, or misuse. These safeguards include:

  • Secure payment processing

  • Restricted access to donor records

  • Encrypted digital storage where applicable

  • Staff and volunteer confidentiality obligations

GCPTALKS complies with all applicable data protection and charitable solicitation laws.

5. Sharing and Disclosure

GCPTALKS maintains a strict non‑disclosure policy.

  • We do not sell, rent, trade, or exchange donor information with any third party.

  • Donor information is shared only with trusted service providers (e.g., payment processors, email systems) solely for the purpose of fulfilling GCPTALKS operations.

  • Donor information may be disclosed if required by law, court order, or regulatory authority.

GCPTALKS does not permit third‑party fundraising on its behalf without written authorization.



6. Donor Recognition and Anonymity

GCPTALKS honors donor preferences regarding recognition:

  • Donors may choose public acknowledgment, private acknowledgment, or full anonymity.

  • Recognition for major gifts (including facility‑based honors) will only occur with explicit donor consent.

  • Donors may modify their recognition preferences at any time.


7. Recurring Donations and Membership Contributions

For donors participating in recurring giving or membership tiers:

  • Payment information is processed securely through third‑party systems.

  • Donors may cancel or update recurring contributions at any time.

  • GCPTALKS does not store full payment card details.


8. Access to Donor Information

Donors may request:

  • Copies of their donation history

  • Updates or corrections to their personal information

  • Changes to communication or recognition preferences

  • Removal from mailing lists or digital communications

Requests will be honored promptly and without penalty.


9. Retention of Donor Information

GCPTALKS retains donor records only as long as necessary to:

  • Comply with IRS and state charitable regulations

  • Maintain accurate financial and organizational records

  • Support donor stewardship and communication

Records are securely disposed of when no longer required.


10. Children’s Privacy

GCPTALKS does not knowingly solicit or accept personal information from individuals under the age of 13 without verifiable parental or guardian consent.


11. Policy Updates

GCPTALKS may amend this Donor Privacy Policy to reflect legal requirements, operational changes, or best practices. Updated versions will be posted on GCPTALKS.org with the effective date.
